Privacy Policy
1. Who we are
This Privacy Policy explains how VerveX Engines (a VerveX AI brand, referred to as "we", "us", or "our") collects, uses, stores, and discloses information when you visit our website, contact us, or engage our services.
We can be reached at [email protected] for any privacy-related questions.
2. What information we collect
We may collect the following categories of information:
- Contact details you voluntarily provide, including name, email address, business name, role, and phone number.
- Engagement information such as discovery call notes, business requirements, workflows you share with us, and the goals you describe for an AI Engine.
- Operational data we are granted access to during the build and delivery of an Engine, including data from systems we integrate with (such as CRMs, email platforms, spreadsheets, and other tools) where you have given explicit permission.
- Technical information automatically collected when you visit our website, including IP address, browser type, device type, pages visited, and approximate location.
- Communication records including emails, messages, and meeting notes exchanged with us.
3. How we use your information
We use the information we collect to:
- Respond to enquiries and schedule discovery calls.
- Deliver the services you have engaged us for, including building and operating AI Engines.
- Integrate with and operate within the third-party tools you authorise us to access.
- Send service-related communications, including updates, intelligence briefs, and reports.
- Improve our services, refine our processes, and develop new offerings.
- Meet our legal, accounting, and regulatory obligations.
We do not sell your information, and we do not share it with third parties for their own marketing purposes.
4. AI processing and data handling
In the course of delivering AI Engines, information you provide may be processed by large language model providers and other AI services we use as part of the Engine architecture (for example, providers such as Anthropic, OpenAI, or similar). We only send information to these providers as required to deliver the service.
Where possible and appropriate, sensitive data is processed locally on the dedicated hardware deployed for your Engine. We will discuss data handling boundaries with you during the Assessment phase and document them as part of the Engine specification.
5. How we store and protect information
Information you provide to us is stored in our internal systems and on dedicated hardware used to operate Engines. We take reasonable steps to protect it, including using encrypted connections, restricted access, and secure storage practices.
No method of transmission or storage is completely secure, and while we use reasonable safeguards, we cannot guarantee absolute security. We will notify you promptly if we become aware of any unauthorised access to your information.
6. Sharing your information
We may share information with:
- Service providers who help us deliver our services, including cloud infrastructure, payment processing, scheduling, and communication tools.
- Third-party AI providers as described above, only to the extent required to deliver the engaged service.
- Professional advisors such as accountants and lawyers, where required.
- Regulators and authorities where we are legally required to do so.
We do not share your information with any party outside the categories above without your consent.
7. Cookies and analytics
Our website uses cookies and similar technologies to operate the site, remember your preferences, and understand how visitors use the site. You can disable cookies in your browser, though some site features may not work correctly if you do.
We may use analytics tools to understand traffic patterns and improve the site experience. These tools may collect technical information described in Section 2.
8. Your rights
You have the right to:
- Request access to the personal information we hold about you.
- Request corrections to information that is inaccurate.
- Request that we delete your information, subject to any legal obligations we have to retain it.
- Opt out of marketing communications at any time.

To exercise any of these rights, contact us at [email protected].
9. International transfers
Because we work with businesses worldwide and use cloud-based service providers, your information may be transferred to, stored in, or accessed from countries other than your own. When this happens, we take reasonable steps to ensure your information is protected in line with this policy.
10. Children
Our services are intended for businesses. We do not knowingly collect personal information from anyone under the age of 16. If you believe we have collected such information, please contact us so we can remove it.
